This Privacy Policy describes how we collect, use, and safeguard your information when you use our services, including our web applications and integrations with third-party platforms such as Intuit QuickBooks Online.
Information We Collect
We may collect the following types of information:
- Account information: Name, email address, and business name provided during onboarding.
- Financial data: Invoice numbers, payment amounts, customer names, and other bookkeeping data accessed through QuickBooks Online with your authorization.
- Uploaded documents: PDFs and other files you upload for processing, such as remittance advices.
- Usage data: Basic server logs including IP addresses, timestamps, and request metadata for security and debugging purposes.
How We Use Your Information
- To provide bookkeeping and automation services you have requested.
- To read and write data in your QuickBooks Online account on your behalf, with your explicit authorization via OAuth 2.0.
- To extract and process data from uploaded documents for invoice matching and payment posting.
- To communicate with you about your account and services.
- To maintain security and prevent unauthorized access.
QuickBooks Online Integration
Our application connects to QuickBooks Online using Intuit's OAuth 2.0 authorization protocol. We only access the QuickBooks data necessary to provide our services. You can revoke our access at any time through your QuickBooks Online settings. We do not use your QuickBooks data for any purpose other than delivering the services you have requested. We do not sell, share, or use your financial data for advertising, training, or analytics unrelated to your account.
Data Storage and Security
Your data is stored on secure, encrypted servers. We use industry-standard security measures including encrypted connections (TLS), secure credential storage, and access controls to protect your information. We retain your data only as long as necessary to provide our services or as required by law.
Third-Party Services
We use the following third-party services to operate our platform:
- Intuit QuickBooks Online — accounting data access (governed by Intuit's Privacy Policy)
- OpenRouter — routes AI requests to the model provider (does not retain prompts or use them for training)
- Anthropic Claude — document data extraction (not used for model training; retained only briefly for operational purposes)
- Resend — transactional email delivery
Your Rights
You may request access to, correction of, or deletion of your personal data at any time by contacting us. You may disconnect our application from your QuickBooks Online account at any time. Upon termination of services, we will delete your data within 30 days unless retention is required by law.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by email or through our application.
