  • Account information: Name, email address, and business name you provide during onboarding or when you contact us.
  • Financial data: The bookkeeping data in your QuickBooks Online account - transactions, account balances, customer and vendor names - that we work with to maintain your books, with your authorization.
  • Documents you share: Statements, receipts, and other files you send us through your secure client portal so we can do your books.
  • Usage data: Basic website analytics such as page views, collected in aggregate to understand how the site is used.

How We Use Your Information

  • To provide the monthly bookkeeping services you have requested.
  • To maintain your books in QuickBooks Online on your behalf, with your authorization.
  • To prepare and deliver your financial statements.
  • To communicate with you about your account and your books.
  • To keep your information secure and prevent unauthorized access.

QuickBooks Online

As your bookkeeper, we access your QuickBooks Online account with your authorization to maintain your books. We only access the data necessary to provide our services, and you can remove our access at any time through your QuickBooks Online settings. We never sell, share, or use your financial data for advertising or any purpose unrelated to the bookkeeping work you have engaged us to do.

Data Storage and Security

Your financial data stays in your QuickBooks Online account, protected by bank-level encryption. Documents you share through the client portal are stored securely with encrypted connections and access controls. We never store your banking passwords, and access to your information is limited to what is needed to do your books.

Third-Party Services

We use a small number of trusted third-party services to operate our practice:

  • Intuit QuickBooks Online - the accounting platform where your books live (governed by Intuit's Privacy Policy)
  • Double - the secure client portal for sharing documents and statements
  • Resend - email delivery for service-related communication

Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us. You may remove our access to your QuickBooks Online account at any time. When our engagement ends, we will delete the personal data we hold within 30 days unless retention is required by law.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by email.
